Collaborate with your team by inviting users to your Cernel organization. Control who has access and what they can do with role-based permissions.

Accessing User Management

Navigate to Settings → Organization → Users in the sidebar.

User Roles

Cernel has two user roles:

Admin

Full Access
  • Enrich products
  • Review and apply content
  • Invite/remove users
  • Manage billing
  • Configure sites and settings
  • Access API keys

Member

Limited Access
  • Enrich products
  • Review and apply content
  • View jobs and products
  • Cannot manage users, billing, or settings
Best Practice: Give Admin role to managers/IT, Member role to content creators/marketers who only need to enrich products.

Inviting Users

Go to Users Page

Settings → Organization → Users

Click 'Invite User'

Opens invitation dialog

Enter Email Address

Provide the email of the person you want to invite

Select Role

Choose Admin or Member

Add Message (Optional)

Include a personal message in the invitation email

Send Invitation

They receive an email with a link to join

They Accept

Once they create an account (or log in if they have one) and accept, they’re added to your organization
Invited users appear as Pending until they accept the invitation.

Managing Existing Users

User List

View all users with access to your organization:

Changing User Roles

Find User

Locate the user in the user list

Click Actions → Edit

Opens user editing dialog

Change Role

Switch between Admin and Member

Save

New role takes effect immediately
You cannot demote yourself from Admin to Member. Another Admin must do this.

Suspending Users

Temporarily remove access without deleting the user:

Click Actions → Suspend

On the user you want to suspend

Confirm

User is suspended

Access Revoked

They can no longer log in to your organization

To Reactivate

Click “Reactivate” to restore access
When to suspend:
  • Temporary contractors who completed their work
  • Employees on leave
  • Security concern pending investigation

Removing Users

Permanently remove a user from your organization:

Click Actions → Remove

On the user you want to delete

Confirm Removal

Confirm the action

Access Revoked

They can no longer access your organization
Removing a user doesn’t delete their work history (enriched products, jobs created). It only revokes future access.

User Activity

Viewing Activity

Track what team members are doing:

Go to Dashboard

View the activity feed

Filter by User

Use the “Initiator” filter to see jobs started by specific users

View Details

Click any job to see who created it and when

Activity Tracking

Cernel tracks:
  • Jobs created
  • Products enriched
  • Content reviewed and applied
  • Settings changes (Admin only)
This helps with:
  • Accountability (who did what)
  • Performance (who’s most active)
  • Auditing (compliance and security)

Organization settings
Members can use existing prompt templates but cannot create organization-wide templates or modify global configurations.

Best Practices

Give users the minimum permissions they need. Most content creators only need Member access, not Admin.
Quarterly, review your user list and remove users who no longer need access (former employees, contractors, etc.).
Invite users with their work email addresses, not personal emails. This makes offboarding easier when people leave.
Maintain a document of who’s responsible for what (e.g., “Sarah manages apparel enrichment, John handles electronics”).
When adding someone, send them the Quickstart Guide and schedule a brief training session.

Security Best Practices

Require all users (especially Admins) to enable 2FA on their accounts for added security.
If a user hasn’t logged in for 90+ days and no longer needs access, remove them.
Regularly review what Admins are doing—especially changes to billing, user management, and site connections.
When an employee leaves, remove their Cernel access on their last day (or immediately if termination is involuntary).

Troubleshooting

Issue: Invitation link doesn’t work or expires.Solution: Resend the invitation from Settings → Users. Invitations expire after 7 days.
Issue: Member trying to access Admin features.Solution: Either change their role to Admin or clarify that the feature requires Admin access.
Issue: Error when trying to remove the last Admin user.Solution: You must have at least one Admin. Promote another user to Admin first, then remove the other.
Issue: User is in multiple Cernel organizations and viewing the wrong one.Solution: Click the organization switcher (top left) and select the correct organization.
